Before You Submit

  • Update your All researchers must complete the “Research Investigators (Students, faculty, staff)” course for every level of review. External funding or research beyond human ethics may require additional courses.
  • Prepare your documents. Gather consent forms, letters of permission from external facilities, recruitment materials, surveys, interview protocols, and any other data collection materials before starting your application.
  • Plan your timing. The system saves automatically, but having all materials ready before you begin will make the process much smoother.

Submitting a New Protocol

All new IRB protocols should be submitted through . Legacy PDF+Email submissions are only accepted in limited circumstances and will add 1-2 weeks to your review timeline due to manual entry requirements.

Required: Cayuse HE for These Submissions

  • Students: All submissions must go through Cayuse HE. Legacy PDF+Email submissions will not be accepted.
  • Exempt applications (all researchers): Must be submitted through Cayuse HE. Legacy submissions will not be accepted.

Modifications to Existing Studies

How you submit a modification depends on your study type:

  • Full Board studies: Already in Cayuse HE. Submit modifications using your existing study shell.
  • Expedited and Exempt studies: Submit as a new study in Cayuse HE. Add “(Legacy IRB #00-000)” to your title, include both IRB numbers on all documents, and attach a description of the modifications and their rationale. Continue current activities while under review, but wait for approval before implementing changes.

Continuing Reviews (Full Board Studies Only)

  • Full board applications from the last three years are in Cayuse HE as shells.
  • Copy your existing information into the shell in Cayuse HE; no new content is needed.
  • Submit one month before your expiration date.
  • Modifications cannot be bundled with continuing reviews. Submit them separately and be mindful of full board deadlines.

Final Reports

If a final report is your only remaining action, you may use the legacy PDF+Email process. No Cayuse HE action is required for final reports only. Remember to download the PDF before completing your study record.
